About the role
The Operations and Systems Manager will report to the COO and be a key member of our Senior Management Team (SMT) and take ownership of our digital systems and processes to drive up efficiency across the charity.
The role will support the COO to oversee the day to day running of all internal systems, ensuring that everything from Governance to HR and Finance run smoothly.
Within this role, you will manage the Finance and Operations Officer
Systems and Processes
- Lead on managing the digital systems infrastructure at Get Further, including our Salesforce CRM, fielding requests from across the organisation and managing costs of new systems or development work.
- Oversee our IT provision, including the management of our external IT providers,
- Maintain an overview of the organisation’s memberships and subscriptions, ensuring renewals and payments are up to date.
- Maintain an overview of Get Further’s user accounts across SharePoint and other digital tools, ensuring pricing, licencing and permissions are effectively managed across all platforms.
- Maintain and develop Get Further’s practice and policies in relation to GDPR, ensuring that they are applied across the organisation, and take ownership of the organisation’s SharePoint structure.
- Responsible for scoping and implementing digital solutions that effectively support business operations.
- Source and maintain an overview of IT hardware, phones, and other equipment, including managing logistics and phasing out old equipment.
HR and Finance
- Oversee HR systems and processes, including performance reviews, and maintain HR records.
- Support internal processes and systems for starters, leavers and existing staff.
- Manage the planning and coordination of central staff training, as well as ensuring compliance of health and safety in the context of remote working and in the office.
- Manage central budget lines and the delivery of the bookkeeping and monthly internal management accounts by the Finance Officer.
- Negotiate contracts with suppliers and service providers to secure cost-effective deals in line with our procurement policy.
- Lead the maintenance and review cycle of internal policies, including the staff handbook.
- Oversee payroll
- Strategy and oversight of central recruitment processes, including standardising onboarding and induction of new employees
GovernanceÂ
- Oversee scheduling of Board, Committee and advisory group meetings, ensuring dates are diarised, invites sent, and papers circulated in advance.  Â
- Attend Board and Committee meetings and take minutes, ensuring they are approved and circulated in a timely manner after the meeting Â
Team Management and Cultural Contribution
- Line Manage and lead the development of the Operations and Finance Officer
- Support the COO with the L&D strategy for the organisation
- Manage the central staff benefits, including termly team days, the EAP, pensions, access to work applications, workstation assessments and wellbeing initiatives.
- Work alongside the EDI working group and COO develop and implement a strategy and policy to expand and improve the charities diversity and inclusion

- Demonstrable experience overseeing operational systems (e.g., HR, IT infrastructure, budgets, procurement, or office management) in a fast-paced or complex organisation.
- Strong IT skills, including Microsoft Office (Word, Excel, etc.).
- Knowledge of GDPR requirements and how to ensure organisational compliance.
- Proactive problem-solver with a solution-oriented mindset.
- Excellent communication skills (both written and verbal), with the ability to tailor messages for different audiences.
- Strong interpersonal skills; an ambitious, optimistic, tenacious, and supportive team player who can manage external stakeholders effectively.
- Highly organised, with excellent time management, flexibility, and the ability to work independently.
- Committed to safeguarding the young people we work with, ensuring compliance with safer recruitment and safeguarding frameworks, and handling sensitive information securely.

Desirable:
- Familiarity with the Further Education (FE) sector.
- Experience leading organisational change, streamlining systems, or delivering cross-organisational projects.
